Booking details

Travel dates, traveller names as per passport, nationality, DOB, preferences (room/bed, accessibility), and special requests.

Documents

Passport details are needed to arrange services.

Payment

Processed securely by our payment providers (we do not store full card details).

Marketing preferences and communications

Marketing preferences and communications with us.

Website usage

Website usage (cookies/analytics).


How we use your data & legal bases

  • To provide and manage your trip (contracts with you).

  • To personalise your itinerary and support you (legitimate interests).

  • To send service messages (itineraries, balance reminders) (contract/legitimate interests).

  • To send marketing you opt in to (consent; you can unsubscribe anytime).

  • For accounting, fraud prevention and legal compliance (legal obligation).


Sharing your data

We share only what’s necessary with trusted partners to deliver your trip: hotels, guides, transfer providers, and airlines in your destination; payment processors; IT/hosting; and insurers or regulators where required.

Retention

Booking records

up to 7 years (tax/accounting).

Passport and sensitive travel details

deleted within 30 days after your trip ends, unless needed for legal claims.

Enquiries (no booking)

up to 24 months.

Marketing contacts

kept until you unsubscribe or after 24 months of inactivity, then removed.


Your rights

You can request access, correction, deletion, restriction, or portability or object to certain uses. You can withdraw marketing consent anytime.

To exercise any right (access, correction, deletion, etc.), email callum@asanitravel.com with the subject “Privacy request”. We’ll reply within 30 days and may request ID to verify you.

You can also complain to the ICO (Information Commissioner’s Office) at ico.org.uk.


Security

We use encrypted systems, role-based access, and 2-factor authentication for admin accounts. Staff are trained on data handling, and we only keep what we need.


International transfers (tailored to Asia trips)

Because your trip takes place in Asia (e.g., Japan, Thailand, Vietnam), we share limited data with trusted local partners to deliver your services. This is necessary to perform your contract with us. Where appropriate, we use safeguards such as the UK International Data Transfer Agreement / EU Standard Contractual Clauses.


Marketing

If you tick the opt-in at checkout or elsewhere, we’ll email/SMS offers. Unsubscribe links are included in every message.


Cookies

We use cookies to run the site and improve it.

  • Strictly necessary (operate the site and checkout).

  • Analytics (e.g., Google Analytics) to understand site usage.

  • Marketing (only if you consent).
